Request for Information (RFI) is a document that solicits information from potential providers of desired products and services and that often serves as the first step in a formal selection and proposal process.  This general information is used to evaluate and compare qualified providers in terms of resources, capabilities, track record, etc.  RFIs should not get into specifics about the products and services to be provided, pricing, specific timeframes, etc.  They should focus on the verifiable capabilities of each potential provider to enable a fair and direct comparison.

Request for Proposal (RFP) is a document that describes desired products and services and solicits a formal proposal for the delivery of desired products and services, including timeframes, pricing, etc.  Its distribution may be limited to potential providers selected on the basis of an RFI or may be made more generally available.  RFPs typically include an overviewobjectives, and metrics to be met by the delivery of the requested products and services.

Requests for Quotation (RFQs) are less common because much of the information they contain may duplicate information in the RFP.

Larger, sometimes publicly-traded organizations and government agencies are often required by law or policy to utilize RFIs and RFPs to ensure fairness and transparency in the proposal and selection process.

There is an art to creating successful RFIs and RFPs just as there is an art to responding to them.  Experience, writing skill, and attention to detail are vitally important in requesting and responding.

Pro Tip: One of the best ways to win the work described in an RFP is to help your prospective customer to write the RFP.
